Who is responsible for your information?

Information you provide
Contact and interest enquiries include your name, email address, company, chosen topic and message. Please include only the information needed for us to help you.
Company bookings include company and representative details, billing address, VAT details where applicable, contact information, event and team selections, your acceptance of the agreement and an electronic signature. We also keep a booking reference, submission time and a copy of the agreement and event details associated with the booking.
A company representative may give us another colleague’s business contact details. Please tell that colleague and share this notice with them. Individual player lists, waivers and event photographs may involve additional information and event-specific notices.
Why we use it
We use enquiry details to answer your question and arrange the next steps. We use booking information to administer company entries, communicate with representatives, prepare billing, record agreements and resolve booking queries.
For company representatives, our usual basis is our legitimate interest in managing business relationships and keeping reliable booking records. Where you personally enter a contract, relevant processing may be necessary for that contract. We also process records required by tax or other legal obligations. Consent applies where we specifically request it.
Sending an enquiry or booking through these forms does not itself subscribe you to a marketing mailing list.
Website security and browsing
Our forms use short-lived security tokens and submission limits to reduce spam and repeated requests. Rate limiting uses a protected value derived from your IP address. Hosting and security services may also keep technical access logs, such as IP addresses, request times and browser information.
We use this information to operate and protect the website. Read the Cookie Policy for information about browser storage and embedded videos.
Bookings, messages and email delivery
Booking records and signatures are held in the website’s private booking system and can be accessed by authorised administrators. A signature is not added to the public media gallery. Booking correspondence may contain the submitted details, accepted agreement and signature.
Website enquiries and booking emails use Resend when email delivery is enabled. The enquiry or booking information needed for those emails is processed by that provider and received in the relevant mailboxes. Contact and Fast Five enquiry messages are delivered by email; the custom enquiry form does not keep a separate message archive in WordPress.
An email delivery service receiving a message does not guarantee that it reaches an inbox. Contact us if you need to check the status of an enquiry or booking.
Who may receive information
Information may be available to authorised IFR staff, website hosting and support providers, email services, and professional advisers who need it for their work. Event delivery partners may receive the information required to arrange participation. We may also disclose records where required by law or needed to deal with a legal claim.
Resend’s published data-processing terms describe processing in the United States and contractual safeguards for relevant international transfers. Other hosting or support arrangements may also involve processing outside the European Economic Area. Contact us for information about the safeguards relevant to your information.
How long information is kept
Retention depends on the purpose of the record. Enquiries are kept while they are being handled and for relevant follow-up. Booking, billing and signed-agreement records may be needed beyond the event for accounting, applicable legal duties and the handling of claims. Security records are retained according to their operational purpose.
Records should be deleted or anonymised when these purposes no longer apply. Backups and email copies may remain until the relevant retention cycle ends. Contact us to ask about the retention period for a particular record.
Your choices and rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information, and object to processing based on legitimate interests. You can withdraw consent where we rely on it. These rights have conditions and do not automatically require deletion of records we must retain.
Contact info@foracauseevents.com to make a request. We may need to verify your identity. You can also complain to Malta’s Information and Data Protection Commissioner at idpc.org.mt, or another competent supervisory authority.
Fields marked as required are needed to handle the relevant enquiry or booking. Without them, we may be unable to process it. Our booking forms do not make decisions based solely on automated profiling that have legal or similarly significant effects.
Event media and other services
This website publishes event news, photographs and videos. Please contact us about a photograph or recording involving you, identifying the event and the relevant image or link. Event attendance and media permissions are handled separately from a website enquiry.
YouTube videos and links to social platforms are subject to the relevant provider’s privacy information. Playing a video or following an external link may disclose technical information to that provider. See the Cookie Policy for more detail.
Updates and contact
We may update this notice when the website or our processing arrangements change. The effective date shown on this page identifies the applicable version. Questions about this notice can be sent to info@foracauseevents.com.
